THE ROLE:

For our Manufacturing Site in Montecchio Maggiore (VI) with over 800 employees, we are seeking an HR People Operation Specialist. This position ensures timely, thorough and consistent processing of all HR operational activities and contract documentation within the employee life-cycle – from onboarding of new hires and transfers to leaves of absence to benefits and reward administrations to terminations; ensures that payroll is processed accurately via local payroll provider system (ADP), maintaining, updating, analyzing payroll and admin records, reports and statistics, monitoring the service and relationship and maintaining statutory, policy and SOX compliance. This role is a primary point of contact for employees and managers to answer general HR/payroll/benefits questions, request documentation and Workday support and works closely with the HR business partners, COE’s, HRIS, and external partners to execute employee-focused HR services.

Principal Responsibilities:

  • Responsible for day to day operational and transactional support for HR processes in the employee life cycle related to Hiring, Onboarding, Contract Changes, Terminations, country transfers, Employee/Manager Self-service transactions, Time & Attendance, etc.
  • Respond to and work with the appropriate support teams to resolve inquiries/escalations from HR team, employees and managers received through tickets submitted via mail and other contact options.
  • Ensure accuracy, legal and policy compliance and data integrity of all HR data and ensure that all HR data and processes satisfy compliance policies e.g. GDPR.
  • Perform transactions in HR Workday.
  • Support maintenance of HR Workday data and carry out data validation checks.
  • Maintaining employee documentation as required.
  • Prepare, update and maintain job documentation, reference guides, policies, formats and letters and ensure up to date on HR sharepoint.
  • Works closely with the payroll vendors and service providers to ensure that SLAs are adhered to and maintained.
  • Collects, reviews, updates, payroll data and employee personal changes accurately to be delivered to the Payroll Vendors.
  • Complies with local legal requirements by studying existing and new legislation; enforcing adherence to requirements; monitoring payroll vendors to ensure high accuracy and quality data
  • Educating employees and managers of services available to them and encouraging self-service tools in Workday and Payroll Vendors.
  • Escalate/triage issues or queries to Business Partners, HRIS, COEs, etc. as needed
  • Assist with implementation of enhancements to key HR applications and related processes and participate in European or global change projects.
  • Drive a high level of customer satisfaction through service delivery, quality and self-identifying trends and opportunities to enhance the customer experience.
  • Build strong relationships with HR business partners, outsourced vendors, HR People Operations peers.

Qualifications:

  • Ideally minimum 2/3 years’ relevant experience in payroll analyst role and/or HR Shared Services.
  • Good  English level (written & verbal) and  fluent in Italian
  • Specialist expertise in compliance and regulations for payroll operations.
  • Experience in multi-site, multiple monthly payrolls
  • Working knowledge of the employment/labor, payroll, tax and regulatory laws.
  • Client-service orientation with clear communication and interpersonal skills required.
  • Having a sense of immediacy in attitude, initiative and capability being able to anticipate situations before they arise within a fast-paced, high-volume environment across multiple stakeholders/clients.
  • Ability to effectively prioritize and organize workload, multi-tasking is essential.
  • Good Excel skills, including Vlookup and Pivot Tables.
  • Experience working with HRIS systems would be a plus (ADP, Workday are preferred).
